We are looking for a highly organized and detail-oriented HR Operations Specialist who will help us maintain smooth day-to-day people operations and team members engagement across the company. This role combines HR operations, internal communications, team members engagement, and office coordination. We are looking for someone who enjoys organizing processes, coordinating multiple tasks simultaneously, and independently driving operational activities that support a positive team members experience. Location: Lviv: Office — 1 day/week approximately.
Responsibilities: People Operations: • Support onboarding and offboarding flows from an operational perspective. • Maintain team members data in HR systems and ensure information accuracy. • Maintain and update automated flows for HR processes. • Keep the internal knowledge base up to date: guides, policies, and process documentation.
Internal Events: • Organize internal online activities such as quizzes, games, and engagement initiatives. • Coordinate offline team-building activities in Lviv. • Support team members engagement initiatives and company culture activities.
Internal Communications: • Prepare internal announcements and team members communications. • Coordinate birthday, anniversary, holiday, and newcomer announcements. • Support internal communication initiatives and HR digest preparation. • Share updates regarding internal activities and events. • Conduct HR surveys.
Benefits Administration: • Manage health insurance: add and remove team members, communicate with the insurer, verify coverage lists, coordinate payments with Finance. • Administer speaking clubs: onboard new participants, process payments, liaise with the vendor.
Office Operations: • Coordinate basic office needs and supplies for an office space. • Organize delivery and shipment logistics, including international package coordination. • Track people-related operational expenses.
Requirements: • 1+ years of experience in People Operations, HR Administration, Office Operations, HR Coordination, or similar roles. • Strong organizational and multitasking skills. • High level of ownership and ability to work independently. • Attention to details and process accuracy. • Strong communication and coordination skills. • English — B2 and higher (both written and spoken).
Nice to have: • Experience in IT companies. • Experience organizing internal events or team members engagement activities. • Experience working with HRIS systems (People Force or similar). • Experience coordinating vendors or external service providers.
