You are responsible for turning priorities and client goals into clear execution plans, coordinating the team, keeping delivery on track, and ensuring projects move forward without chaos, missed deadlines, or broken communication.
You act as the operational bridge between the CEO, Product Owner, clients, and the execution team.
You report directly to the CEO / Product Owner and work closely with Sales, Account Managers, Designers, Developers, Paid Ads Specialists, SEO, Content and external freelancers. Key Responsibilities1. Project & Delivery Management Own the delivery process across multiple agency and service projects at the same time.
Manage the full lifecycle of service projects: onboarding → planning → execution → QA → delivery → reporting
Control timelines, scope, priorities, dependencies, and launch readiness.
Ensure all projects move forward in a structured and predictable way. 2. Team Coordination & Resource Management Coordinate shared internal resources across multiple parallel projects.
Work with: * Paid Ads specialists * SEO specialist * Designer * Developers * Content team * Sales team * Freelancers / contractors
Distribute workload based on team capacity and priorities.
Identify bottlenecks, overloaded team members, missing inputs, and blocked tasks early.
Keep the team aligned on what is priority, what is delayed, what is at risk, and what must be delivered first. 3. Client Operations & Communication Act as the main operational point of contact for agency/service clients on delivery matters.
Manage client updates, approvals, status communication, and changes in scope.
Prepare and control weekly / monthly delivery reporting. 4. Quality Control & Launch Readiness Review deliverables before internal or client handoff.
Run launch readiness checks across landing pages, content, ads, tracking requests, design assets, and team handoffs.
Flag issues before they become client-facing problems.
Drive a strong Go / No-Go discipline before launches. 5. Operations & Process Improvement Own and maintain delivery structure inside Asana.
Improve the way projects are executed: * reduce chaos * improve visibility * create repeatable workflows * improve handoffs between teams * make reporting more structured
Prepare internal operational summaries for the CEO & Product Owner. We Expect You To Have * 3+ years of experience as a Delivery Manager / Project Manager / Operations Manager in a digital agency, outsourcing company, production environment, or service business * Fluent English * Experience managing multiple projects in parallel * Experience coordinating cross-functional shared teams * Strong client communication skills * Strong organizational skills and ownership mindset * Ability to make decisions, escalate risks, and push execution forward * Experience with Asana, Jira, ClickUp, or similar project management systems * Solid understanding of digital delivery: * Paid Ads * SEO * landing pages / websites * design workflows * marketing services delivery * Strong sense of deadlines, structure, and quality control
Big Plus If You Have * Experience in logistics, transportation, or B2B services * Experience working with US clients * Experience in an agency with multiple parallel client projects * Experience balancing shared resources across several teams
