We are looking for a Purchasing Data Entry Specialist who will support the purchasing team by accurately entering and maintaining procurement data in company systems. This role ensures purchase orders, vendor records, pricing, and item details are up to date while helping the department stay organized and efficient.
Role Responsibilities * Accurately enter and process purchase orders (POs) * Update item data including descriptions, pricing, and delivery dates * Verify purchasing documents such as requisitions, supplier quotes, confirmations, invoices, and packing lists * Maintain organized electronic purchasing records in accordance with company policies * Assist in tracking open purchase orders, backorders, and delivery schedules * Support communication with suppliers and internal teams through email/phone * Identify and resolve data entry errors, missing details, or inconsistencies * Generate basic purchasing reports or spreadsheets as requested * Assist with vendor setup and updates, including contact information and payment terms
Required Skills * Strong command of written and spoken English (Upper-Intermediate / B2 or higher). * 1+ year experience in data entry, purchasing, or administrative support preferred * Strong attention to detail and accuracy * Proficient in Microsoft Excel and data entry systems (VLOOKUP, XLOOKUP, Pivot Tables, etc.) * Strong written and verbal communication skills * Ability to prioritize tasks, meet deadlines, and work independently * Reliable internet connection and ability to work remotely * Working hours are generally flexible, with occasional afternoon or evening availability needed for USA time-zone meetings.
Preferred Skills * Experience with ERP or purchasing software (examples: SAP, Oracle, NetSuite, QuickBooks, Dynamics) * Familiarity with purchasing documentation and vendor communication * Strong organizational and follow-up skills
