Position Overview
The Sales Operations Specialist plays a critical support role in helping our Sales team operate efficiently and effectively. This role reports to the Sales Director, North America, and works closely with Business Development Managers and Account Managers. Sales Operations Specialist focuses on maintaining clean and consistent sales processes, driving CRM usage and implementation, supporting reporting needs, and assisting with operational reviews like contracts and pricing.
This is a hands-on, detail-oriented position ideal for someone with strong organizational skills, a process mindset, and an interest in growing their career in sales operations or revenue support.
Responsibilities
Sales Process Management * Maintain and refine sales processes and documentation regularly * Ensure alignment of process steps with CRM pipeline stages * Support team adoption of new workflows and improvements
CRM Ownership * Act as the internal administrator and point of contact for our CRM system * Manage user setup, access, and basic configurations * Drive data cleanliness and integrity across the sales pipeline
Reporting & Analytics * Generate weekly and monthly sales reports, including pipeline reporting, to support forecasting and KPI tracking * Maintain dashboards and provide basic data insights to the Sales Director and team * Flag inconsistencies or gaps in pipeline reporting
Contract & Pricing Support * Assist in contract QA reviews to ensure accuracy and completeness * Review pricing proposals for standardization and alignment with guidelines * Coordinate documentation flow using tools such as DocuSign and our contracting system
Tool & Systems Management * Maintain other key sales tools and assets, including DocuSign, proposal templates, and quote libraries * Coordinate updates to templates, SOW documents, and contracting workflows * Track adoption and usage across systems and suggest improvements
What is Needed to Succeed in The Role
Minimum Requirements * 3-5 years of experience in sales operations, project coordination, or business support role * Proficient user of CRM systems, including user management, pipeline configuration, and reporting/dashboard creation * Strong attention to detail and comfort with repetitive or process-driven tasks * Proficient in Excel, Power BI, or similar reporting tools * English proficiency at Upper-Intermediate to Advanced level * Strong communication and analytical skills
Preferred Qualifications * Experience working with Microsoft Dynamics 365 Sales or HubSpot * Experience in a technology or professional services environment * Exposure to tools like DocuSign, SharePoint, and Power BI * Interest in long-term growth within Sales, RevOps, or Business Operations
Location and Schedule
This is a remote role open to candidates based in Ciellos’ core locations: LATAM, Albania, North Macedonia, Portugal, and Ukraine. Candidates must be able to accommodate a work schedule that overlaps Eastern Time (ET) and Central European Time (CET) and must not require visa sponsorship now or in the future.
